The short version: we use your details to get you an artificial grass quote, we share them with one local installer for that purpose, and we delete them after a year. The detail is below.

Whose website is this?

Quote My Artificial Grass Swindon (quotemyartificialgrassswindon.co.uk) belongs to Neil Evans, who runs it as a sole trader and is the data “controller” for it. Questions about your details: hello@quotemyartificialgrassswindon.co.uk or 07930 966630.

What do you keep about me?

Whatever you give us when you ask for a quote: your name, a phone number or email address (or both), the postcode of the garden, what you’d like done, the rough size, your timing and any notes. If you’d like a call at a particular time, we note that too. If you ring, we keep your number, the time of the call and any voicemail, and the website records which page the form came from and when. Please don’t include health information or anything similarly sensitive. We have no use for it.

What do you do with it?

We read your request, get back to you, and pass it to a local artificial grass installer so they can quote. We also keep a basic record of requests to help us run things. The law allows this under “legitimate interests”: you asked for a quote, and these steps are needed to get you one. Only the details needed to contact you and understand the job are shared.

Who else sees it?

A local installer, usually just one at a time, who will contact you and quote. From that point they look after your details as a controller in their own right. Our website and email are hosted by Krystal Hosting Ltd, and our phone line is provided by iD Mobile; both act only on our instructions. We’d also share details if the law required it. We never sell your details and never use them for marketing.

Where is it kept?

Requests from the form reach us by email, and a copy is held on the website so nothing goes astray. Both are on Krystal’s servers in London, in the UK. Voicemails are stored by iD Mobile, which says it sometimes sends information abroad (for example to suppliers or other Currys Group companies) with safeguards such as standard contractual clauses. We don’t send your details out of the UK ourselves.

How long do you keep it?

Twelve months from the last time we’re in touch about your request. After that it’s deleted or anonymised. We may keep anonymous figures, like requests per month, for longer.

Do I have to give my details?

You don’t, but we can’t arrange a quote without a way to reach you and the postcode of the garden.

What are my rights?

You can ask us for a copy of what we hold, ask us to correct or delete it, ask us to limit its use, and in some cases ask for it to be passed to another organisation. You can also object to how we use it, and we’ll stop unless there’s a strong reason not to, which is unlikely for a quote request. Just email hello@quotemyartificialgrassswindon.co.uk.

What if I’m unhappy?

Tell us at hello@quotemyartificialgrassswindon.co.uk first. We’ll acknowledge it within 30 days, look into it and let you know the result. You can also go to the Information Commissioner’s Office, the UK’s data protection regulator: ico.org.uk/make-a-complaint.

Are any decisions automated?

No. Every enquiry is looked at by a real human, not software.
